About the project:

Số hoá tài liệu is a document digitization workflow platform that replaces the slow, manual coordination that organizations have relied on for years. Instead of managing everything by hand, teams now have a single platform that covers the entire digitization pipeline — from document scanning and task assignment, through data entry and quality review, all the way to timesheet tracking and final acceptance.

Objectives:

Build a complete end-to-end workflow platform that replaces manual document digitization coordination with a structured, fully traceable process from first scan to final sign-off
Support large teams across multiple roles — scanners, reviewers, data entry operators — in a way that's transparent and manageable even at significant scale
Meet Vietnamese government data standards for structure, security, and auditability, because these aren't just business records — they're official documents that must be handled correctly

Our approach:

The data scale was the first challenge we had to fully grasp. Each digitization project involves enormous volumes of documents that need to be processed, tracked, and accessed quickly — often simultaneously by many users. Getting the data architecture right before writing application code was non-negotiable
We mapped the entire operational workflow before designing a single screen, because the platform had to mirror how these organizations already worked rather than imposing a new process on teams already under pressure
Security and compliance weren't features added at the end. Vietnamese government standards around data handling shaped every storage and access decision from the very beginning of the build
