About the project:
Quản lý kho tài liệu số is the natural continuation of the Số hoá tài liệu project — the organized, permanent home that all those digitized documents needed once the scanning was done. Built to faithfully mirror the document management workflows of Vietnamese government departments, it gives agencies a single compliant platform for storing, retrieving, and controlling their digital archives at any scale.
Objectives:
- Build a document management system shaped around the official workflows and regulatory structures that Vietnamese government agencies actually use — not a generic enterprise tool, but something built for their specific requirements
- Give agencies powerful search, retrieval, and access control capabilities so staff can find what they need in seconds instead of hunting through poorly organized digital folders
- Ensure full compliance with Vietnamese government regulations for document management — from access permissions and retention policies to complete audit trails
Our approach:
- Understanding the regulatory framework came first. Vietnamese government document management has very specific requirements — for categorization, access levels, retention periods, and audit logging — and the system had to reflect all of that correctly before it could be genuinely useful
- We modeled the folder structures, tagging systems, and permission hierarchies around how these agencies already thought about their documents, so adoption felt intuitive rather than disruptive to established workflows
- Cross-department access control was one of the most nuanced parts of the build — different roles needed different views and permissions, and getting that right meant the platform could serve the whole organization, not just one team
Results:
- A document management platform that government agencies could rely on for their daily operations — compliant, fast, and built around the way they actually work
- Staff who used to spend significant time tracking down specific records now find what they need in seconds, with a full audit trail of who accessed what and when
- A foundational system that agencies are already extending as they continue bringing more of their operations into the digital era
